How to Plan a Christmas Party: Your Complete Guide

So you’ve just found out that this year it’s YOUR turn to plan the office Christmas party!

In our honest opinion, choosing the right venue makes all the difference.

We’ve hosted thousands of great festive celebrations over the years, so we wanted to share our guide to planning a memorable Christmas party – without the stress.

It’s a short-and-sweet guide, because if you choose us to host your party, there really isn’t that much planning or organising for you to do!


Start with the Basics – Who and When

It’s vital to get these essentials sorted:

  • Who: Send out a message to your colleagues to get a rough idea on numbers.
  • When: For a smaller guest list you could check everyone’s availability and book a date when everyone is free. For bigger groups it’s best to just choose a date and see who can make it. Mid-December is often the sweet spot – people are ready to celebrate but it’s not so close to Christmas that diaries are full.

Probably the most important part of the whole process is finding the right Christmas party venue.

Try to find somewhere that takes care of as much as possible, to take away the stress and admin from you.

Here’s what to look for:

  • Capacity & layout: Make sure the space fits your group comfortably.
  • Music and dancing: Often crucial! Do they have a DJ or just music playing from speakers?
  • Location: Is it easy to get to? Do they have parking on-site? Good public transport? Overnight accommodation nearby?
  • Atmosphere matters: A venue with character often requires less decoration.
  • Festive food: Make sure the menu looks good and caters well enough for the specific dietary requirements of your guests.
  • All in one: If the venue offers catering, accommodation, bar and an event manager, your life just got a lot easier!
  • Budget Transparency: Check for clear pricing – no hidden costs for crackers or room hire.

Collect Menu Choices

Some venues will ask you, as the party organiser, to collate all the guests’ menu choices and dietary requirements. It’s one of the biggest headaches when you’re the person planning a work Christmas party.

We won’t ask you to do this at The Rose and Crown Hotel – we’ll collect it all directly from your guests via an online form. That’s a huge chore off your to-do list, so you can focus on the more fun parts of the planning process.

And once everyone’s menu choices are in, we’ll sort the crackers and prepare name cards – that’s another thing ticked off your list.

Communication makes a huge difference:

    • Invitations: Send them early with all the essential details: date, time, location, dress code and any special instructions.
